About the Role We are recruiting an Office Services Coordinator at intern level for our Strategic Communications Brussels office. We are looking for a dynamic, flexible person able to work in a fast-paced environment and prioritise when a day gets busier. Core values of this function are: Can do attitude Empathy Flexible Ownership (pro-activeness/preparedness/leadership & accountability) Transparency And creativity What you will do Provide diary management across multiple time zones as required, prioritizing constantly changing demands from various internal and external sources tactfully and expeditiously. Inbox management of the Senior Finance Manger Admin support (updating documents, templates, contact list, etc). Back-up of the reception function: manage the reception desk and incoming phone traffic, welcome guests, organise and prepare meetings and meeting rooms, book taxis and restaurants, order office & kitchen supplies, ordering business cards, liaise with building management in case of day-to-day issues, other ad-hoc practical support. Arrange and manage travel itineraries and logistics Assist with team, client and external stakeholder hospitality events including drafting and sending invites, managing attendance lists Maintain CRM database up to date Client and colleagues’ entertainment (eg flower deliveries, birthday gifts employees, promotion gifts, marriages, baby gifts, gifts work anniversaries, etc) Collaborate with the wider support teams, including HR, Facilities, Finance and IT, to ensure smooth running of the team Ad-hoc projects as and when required How you will grow You will have the opportunity to be part of a dynamic and multinational team of experts and to work closely with other FTI offices and segments. Basic Qualifications / Qualifications & Experience Exceptional organizational skills to prioritise competing demands and act in a proactive manner Excellent communication skills in English and French or Dutch Drafting and writing capabilities Hands-on attitude Motivated and able to take initiative and responsibility Highly organised and exceptional attention to detail Excellent interpersonal and communication skills Team player Flexible Ability to exercise discretion when dealing with confidential or sensitive matters Ability to prioritize and work to tight deadlines Proficiency in working independently and as part of a busy team Ability to cope under pressure and adapt to change quickly Previous experience of supporting colleagues at a senior level would be an advantage Previous experience of working within a consultancy environment would be beneficial High level of IT literacy Logistics: Location: FTI Consulting Belgium, Avenue des Arts 56, 1000 Brussels Working hours: 09.00-17.30 with 1 hour lunch break from Monday – Friday (but as we have made clear, there may be times when it is necessary to work outside these hours for instance when there is an event starting earlier, etc). On-site presence required at the office Monday-Tuesday-Wednesday-Thursday-Friday Dedicated seat at the reception desk (level 6) in Arts 56 First-class presentation and telephone manner. Dress code: business suit/business casual (jeans allowed on Friday except in case of high-level client meetings)
